Job Description

Bennett A. Thomas DDS PC is delighted to announce an exciting opportunity for a dedicated and organized individual to join our team as a Dental Office Scheduling Coordinator. This full-time position is central to maintaining the efficiency and effectiveness of our bustling dental practice. The role demands excellent organizational skills and the ability to manage multiple tasks efficiently. Please note, this is an on-site position and not eligible for remote work.

In this role, the successful candidate will play a crucial part in coordinating appointments and ensuring optimal scheduler utilization to enhance patient satisfaction and office productivity. Duties and Responsibilities

  • Efficiently manage appointment scheduling and adjustments for multiple dentists within the practice to optimize patient flow and satisfaction.
  • Coordinate with dental staff to manage daily schedules, ensuring timely and efficient patient care.
  • Monitor and adjust schedules based on patient needs, emergencies, and dentist availability.
  • Maintain clear and proactive communication with patients, providing confirmation calls, rescheduling appointments, and answering inquiries.
  • Collaborate with the administrative team to handle cancellations and minimize gaps in the schedule.
  • Ensure that all appointments are entered accurately into the practice management software with complete patient information.
  • Address patient queries related to treatment schedules, durations, and waiting times with professionalism and empathy.
  • Assist in managing patient records and supporting documentation for treatments and consultations.
  • Participate in regular team meetings to report on scheduling efficiency and propose improvements based on trends or recurrent issues.
  • Manage the waiting list effectively, ensuring priority is given based on treatment urgency and patient requests.
  • Support the front desk operations as required, including patient check-in and check-out, billing, and insurance claim coordination.

Requirements

  • Proven experience in a scheduling coordinator role, preferably in a dental office setting.
  • Strong proficiency with Open Dental software is highly desired, but not required.
  • Must possess robust knowledge of dental procedures, terminology, and high value treatment estimates.
  • Excellent multi-tasking skills with the ability to handle a multitude of responsibilities concurrently.
  • Task-oriented with a keen focus on completing duties efficiently and accurately.
  • Strong interpersonal and communication skills, capable of handling patient interactions with tact and empathy.
  • Ability to work collaboratively in a team environment, supporting peers and management to achieve common goals.
  • High school diploma or equivalent.
  • Demonstrated ability to operate under pressure and adapt to unforeseen circumstances.
  • Meticulous attention to detail with an emphasis on confidentiality and integrity.
